Does anyone here uses the webstore as inventory control ie you have the actual quantity updated to your Item record, and on each order, deduct the qty sold (that''s the easy part).

When you restock, how do you add the restocked qty to the existing qty in the webstore database (beside manually editing each item)?

This can be further complicated when you have an inventory of say 1,000 items, and each restock you may be restocking selectively 200-300 items only.

Hi Jack,

if an order is placed through the site, it will automatically adjust the stock available if you have xstockcontrol in CartSetup set to Yes which is the way our site is set up. However, we have thousands of products which we also sell via telephone, sales rep calls and fax. Every couple of hours I produce a csv file from our accounting software which I then upload to our site via the Bulk update opton. Simple and quick and although it is not 100% real time stock level it works really well for us.
Perhaps you could create an excel file with the stock code and stock level for all your products (just use the products table export facility) then it can easily be updated manually and saved as a CSV file to import to your site.

Hi Carrol, thanks for your reply. That''s more or less how we can working around the inventory control now though not exactly in the same approach as yours. We''ve the Phone Order module in place and use that to handle non-web orders (we do not have other retail buying points so our situation is somewhat simpler than yours).

Do you also export the orders from the webstore into your accounting system? Coz that''s the next phase we are looking into doing and would appreciate any pointers from you - or anyone else - who have done something similar.

our web orders are manually entered into our accounting software by our office staff.
Yes it''s extra work but it allows us to keep control of the ordering process and it''s a nice change from decyphering the hand written faxed orders. We get about 10 to 20 orders a day through the web site which at the moment is manageable (although some orders have over 60 items on them)
I think in future we will get it all integrated but that is for management to decide.

I use the xstockcontrol option too. However, I also have QuickBooks integrated.

Do you use T-Hub to integrate with Quickbooks? If not, may I ask how you manage this? It is one of the next steps we want to tackle.

I used CartSpan (http://www.cartspan.com/)''s services to integrate QuickBooks and everything was well taken care for me :)

Not quite sure about T-Hub. But, it seems that VPASP has a page for this http://www.vpasp.com/virtprog/info/faq_accounting.htm.

Do keep us posted if you tried integrating with T-Hub and post your experience here.

After reading this post I contacted Scott at CartSpan to see if they could do the stock/inventory and price synchronization in addition to the order imports to QB, etc. It turns out that they can do it but only on MySQL and not on SQL Server. He is primarily coded for PHP. I''m not exactly clear on why it won''t work but he looked into it and respectively declined to do the necessary development work for a pretty substantial price. Scott is a really nice guy and easy to reach which is in stark contrast to Atandta (T-Hub). We''ve been using T-Hub for order processing into QuickBooks for over 2 years now. It''s nearly impossible to reach anybody there.

I would love to hear from anybody who has success with integrating VPASP with QuickBooks for inventory and pricing. It''s a nightmare to administer with a large range of products.
